How to save your emails before leaving a job
Your emails never leave your computer.
Short answer: Check what your employer allows you to keep, put the emails you may take into one folder, and export that folder to PDF: each email becomes a searchable PDF with its attachments saved beside it. It takes minutes and works in the browser, so there is nothing to install on a work computer.
What you may keep
Company email usually belongs to the company and may contain confidential or personal data. Keep only what you are allowed to: typically your own employment records, references, your contract and pay correspondence. When in doubt, ask HR.
Export a folder
- Move the emails you may keep into one folder.
- Open emails2pdf.com/app, click Connect Outlook, and sign in with your work account. (If your organisation blocks the sign-in, export the folder as a .pst from Outlook and upload it instead.)
- Choose the folder and click Export. Download the ZIP to your own storage.
What it costs
You can convert the whole folder free and download 5 PDFs. For the full download, Starter is $9 for a month (up to 1,000 emails) and can be cancelled the same day.
Questions
Will my employer see that I exported emails?
Signing in to Emails2PDF with a work account is recorded by Microsoft like any other app sign-in, and organisations can see which apps have access. Only export what you are allowed to keep.
Can I export after my account is closed?
No. Once the account is disabled, sign-in stops working. Export before your last day.
Are the PDFs searchable?
Yes. They contain real text you can search and copy, not screenshots.
