How to save multiple emails as PDF in the new Outlook
Your emails never leave your computer.
Short answer: The new Outlook for Windows and Outlook on the web save one email at a time (Print, then Save as PDF). Classic Outlook can print several selected emails to a PDF printer, but you get one combined file without the attachments. To save a whole folder as one PDF per email with the attachments kept, connect the mailbox to Emails2PDF, pick the folder and click Export.
One email: Print to PDF
- Open the email in the new Outlook or Outlook on the web.
- Choose Print (the three-dot menu, or Ctrl+P), then Print again.
- Pick Save as PDF or Microsoft Print to PDF as the printer and save the file.
Attachments are not part of the PDF; save them separately.
Several emails: classic Outlook
Classic Outlook for Windows can send a multi-selection to Microsoft Print to PDF. The result is one combined document, without the attachments and without a file per email. The new Outlook has no multi-select print.
A whole folder, one PDF per email: Emails2PDF
- Open emails2pdf.com/app and click Connect Outlook. Sign in with the Microsoft account of the mailbox.
- Pick a folder (or All folders), a date range if you want one, and A4 or US Letter.
- Click Export. Each email becomes its own searchable PDF, numbered in date order; its attachments are saved as the original files in a folder with the same name;
index.xlsxlists every email.
The conversion runs in your browser. Your emails are not uploaded anywhere.
Questions
Why can't the new Outlook save multiple emails as PDF?
The new Outlook prints one message at a time and has no multi-select print or batch export to PDF. Microsoft's own support answers point users to classic Outlook or to third-party tools for this.
Does it work with Outlook on the web, Microsoft 365 and Outlook.com?
Yes. Emails2PDF signs in with your Microsoft account and reads the mailbox through Microsoft's API, so it works the same for work, school and personal Outlook mailboxes. Some organisations require an administrator to allow the app first.
Are the attachments included?
Yes. Each attachment is saved as the original file, untouched, in a folder named after its email. Pictures that are part of the message are embedded in the PDF.
Are the PDFs searchable?
Yes. The PDFs contain real text you can search, select and copy; they are not screenshots.
Is it free?
You can run the whole export free: every email is converted in your browser and the full index is shown on screen, and you can download 5 PDFs per mailbox. The full download is in Starter ($9 a month, 1,000 emails a month) and Pro ($29 a month, unlimited).
